Privacy Policy
1. Who this covers
- Agency and carrier users: people who sign in to Fillfleet for their company.
- Drivers: people an agency submits to Fillfleet for placement. Drivers do not need an account; they hear from us by text and email.
- Visitors: anyone reading fillfleet.com.
2. What we collect
From agency and carrier users: your name, work email, phone number, password (stored only as a hash), two-step sign-in settings, your company's legal name, address, MC and DOT numbers, and what you do inside the service.
About drivers, from the agency that submits them: name, phone, email, home location, CDL class and endorsements, experience, the kind of work and home time wanted, and documents such as a CDL, medical card or driving record. We also record whether the driver agreed to be placed, how each placement progressed, and the driver's own replies to our check-in texts.
Automatically: the usual server logs (IP address, browser, pages opened, time), and error reports when something breaks. We use one cookie, for your sign-in session. We do not use advertising cookies or trackers.
3. Why we use it
- To place drivers: showing a carrier the drivers submitted for its openings, and showing an agency where its drivers stand.
- To confirm a driver's consent before anything moves, and to check in with the driver after they start.
- To bill carriers, pay agencies, and keep the records both sides need.
- To verify that agencies and carriers are real businesses, and to resolve disputes.
- To send the notifications you would expect: a new driver, a reply, an invoice, a payment.
- To keep the service secure, find and fix errors, and understand how it is used.
We do not sell personal information and we do not use it for advertising.
4. Who sees it
Carriers see the drivers submitted to them, including the driver's documents, so they can decide whether to hire. Carriers see that a driver came through Fillfleet, not which agency.
Agencies see the progress of their own drivers and the carrier each driver was placed with. An agency never sees another agency's drivers.
Service providers that run parts of Fillfleet for us, under contracts that limit them to doing so: hosting (Vercel), database (Supabase), email delivery (Resend), text messaging (Twilio), error monitoring (Sentry), and AI assistance (Anthropic) that reads uploaded documents to fill in forms and summarizes long conversations for staff. These providers process information on our instructions and do not use it to train their models or for their own purposes.
When the law requires it, or to protect the safety of a driver or the integrity of the service.
5. Text messages
Fillfleet texts drivers to confirm consent, to coordinate a placement, and to check in after a start. Drivers receive texts only after agreeing to them. Message frequency varies. Reply STOP at any time to stop, or HELP for help. Message and data rates may apply. Mobile phone numbers and text-messaging consent are never shared with third parties or affiliates for marketing or promotional purposes.
6. Drivers: your choices
You decide whether Fillfleet may place you. The first text or email we send asks exactly that, and you can say no. You can opt out later from the same link, and nothing further goes to any carrier. You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Write to ops@fillfleet.com from the phone or email on file and we will confirm your identity before acting. Records we must keep for billing or legal reasons stay until that need ends.
7. How we protect it
Everything travels over encrypted connections. Fillfleet staff accounts require two-step sign-in. Access inside the service is limited to what each role needs, every change to money and status is written to an audit log, and uploaded documents are stored privately and served only to the people allowed to see them. No system is perfectly secure, and if a breach affects you we will tell you as the law requires.
8. How long we keep it
Account information stays while the account is open and for a reasonable period afterwards. Placement records, invoices and payment statements are kept for as long as tax and accounting rules require. A driver's documents are kept while the driver is in process or placed and are removed when they are no longer needed for that purpose or when the driver asks, whichever comes first.
9. Your rights
Wherever you live, you can ask to see, correct or delete the personal information we hold about you, or object to a use of it. Residents of some states have additional rights under their state's privacy law; we honor those requests the same way. We will not treat you differently for exercising them. Email ops@fillfleet.com and we will reply within 30 days.
10. Children
Fillfleet is for working adults. We do not knowingly collect information from anyone under 18, and we remove it if we learn we have.
11. Changes
When this policy changes in a way that matters we will post the new version here with a new date and tell account holders by email. The Terms of Service describe the rest of the relationship.
